How do we ensure reliability?

Reliable inventory management is a key aspect of timely order processing and meeting your customers’ demand for your products —in part to prevent out-of-stock situations. Below, we’ll explain how VASCO ensures the reliability of your inventory and what we mean by “inventory management.” First, we’ll provide an overview of the activities that cause inventory levels to change.

Trust and control.

Inventory: something that’s a bit harder to keep track of when you have your orders processed by an e-fulfiller. This is because your products are no longer stored in your own warehouse. So you have to trust that, after your supplier receives a shipment, the products will be processed in the correct quantities and sent to the right storage locations. After that, the inventory levels are updated administratively in the relevant systems.

Are your inbound operations (inbound processing) well organized? If so, this contributes to reliable inventory management. At the same time, it’s important that your outbound operations (outbound order processing) are also well organized. When it comes down to it, you need to be confident that the right products are being picked in the right quantities for your customers’ orders.

Unique EAN barcodes for each SKU.

We always ask our customers whether the uniqueness of different SKUs (different products) can be ensured through unique, scannable barcode labels. This prevents multiple, different products from being identified by the same identifier (barcode), and if the barcode labels are scannable, each individual product can be scanned.

High-end warehouse management software.

Our warehouse management system is the backbone of our services. For you, as a customer, it serves an informational purpose. For us, it is important to maintain an overview of our processes, so that we can respond to specific situations and continuously monitor the status of various activities.

When it comes to inventory management, we continuously sync your product inventory levels from our system to your online store, marketplace, ERP, or whatever system you use. Thanks to this real-time synchronization, you always have a clear overview of your product inventory levels.

When is barcode scanning useful?

  • The ability to post inventory during receiving, where items are counted by scanning;
  • Verify that the item listed on the delivery note matches the item actually received—any discrepancies are detected by scanning;
  • To assign products to a transfer location;
  • To assign products to a stock location;
  • To be able to move products to other locations;
  • To write off products from a location during order picking;
  • As a two-step verification process, to allow the person scanning the item while packing the order to check whether their colleague has picked the correct product.

Assigning products to inventory locations.

Every SKU in our warehouse is assigned to a unique storage location. Multiple items of the same SKU may be stored in a single location, but never multiple SKUs in a single location (unless we have set up a customized storage solution at the customer level).

On the one hand, this ensures reliable inventory management, and on the other hand, it ensures that every SKU has a designated location, which guarantees that products never end up “floating around” in an unknown location.

Transfer locations.

Transfer locations are locations used when products are in transit, i.e., on their way from one location to another. This is recorded in our warehouse system as the movement from a starting location to a destination location. For example, during the receiving process. The final storage locations for products are not within the zone where the receiving process takes place.

After processing, the products still need to be moved via a routing system. We use transfer locations to continuously monitor the location of products outside of the storage areas.

The reliability of inventory management is therefore largely determined by the professionalism and maturity of the organization of the activities in which people come into contact with products. The use of up-to-date scanning equipment with advanced features supports our people in this regard.
