We take privacy seriously, which is why we strive to process as little personal data as possible. However, in providing VASCO-fulfilment’s services, we cannot avoid processing personal data. We will do everything in our power to protect personal data, whether it belongs to customers, end users, or employees.

What personal data does VASCO-fulfilment process?

VASCO-fulfilment is a logistics service provider that primarily serves online stores. As a result, in addition to our clients’ data, we also process the personal data of these clients’ customers.

If you are a customer of VASCO-fulfilment (or are in the process of becoming one, for example, if you request a trial account), we process the following information about you:

• Address information
• Phone number
• Email address
• IP address
• Web browser and device type
• Other personal data that you provide to us directly via email

When you place an order with an online store that uses VASCO fulfillment, we process the following information about you:

• Name
• Address information
• Phone number
• Email address
• IP address
• Order History
• Other personal data provided in the comments field of an order
• Other personal data that may be stored by the online store in connection with an order

When you use our website, we process the following information about you:

• IP address
• Web browser and device type
• Pages viewed

Why is personal data processed?

We process data only to the extent necessary for the provision of our services.

If you are a VASCO-fulfilment customer, we process your personal data:

• In order to provide you with support and to verify that you are who you say you are

When you place an order with an online store that is a client of VASCO-fulfilment, we process your personal data on behalf of that online store. The online store is responsible for determining what data is stored and why.

When you use our website, we process your personal data:

• To gain insight into how our website is used so that we can improve it
• To gain insight into which advertising channels are effective and which are not
• In order to answer your question

How long do we retain data?

If you are a VASCO-fulfilment customer, we will retain your data for as long as you remain a VASCO-fulfilment customer. We will also retain your contact information after that, so that if you become a customer again in the future, we can better assist you. For financial record-keeping purposes, we are required to retain your data for at least 7 years after your relationship with us has ended.

We retain all data that you store in your VASCO fulfillment account—which we hold as a “processor”—until you delete it yourself.

We retain data about website visitors for up to 14 months and anonymize or pseudonymize it whenever possible.

If you email us, we will keep a record of the contents of your email. That way, we can always look back later to see what we agreed upon.

Data security

We will ensure that personal data is adequately secured, including encrypted storage where possible and the use of TLS-secured connections between our servers and you as a user.

We also implement appropriate organizational measures to prevent loss or unauthorized processing.

Even when data is stored on sub-processors’ servers, we ensure adequate security and privacy safeguards.

Disclosure of information to third parties

We will never sell or rent your personal information. We will never share your personal information with other organizations without your consent, unless we are legally required to do so.

However, for certain parts of the application, we do use sub-processors who, as a result, also have technical access to data. You can find out which organizations these are and what we use them for in the list of processors on the Picqers website.

Use of Cookies

We use functional cookies, for example, to determine which user you are logged in as.

In addition, we load Google Analytics, which sets its own cookies. You can read more about this under the following heading.

Google Analytics

We use Google Analytics on our website to analyze how our website is used. As a result, your activity on our website is sent to Google. You can find out how Google Analytics uses your data in Google’s privacy policy.

Access to your personal data

You have the right to ask us what personal data we process about you. You can submit this request in writing by emailing info@vasco-fulfilment.nl. We will respond within 4 weeks.

You also have the right to request that we supplement, correct, or delete this information, unless we are legally required to retain it.

Is your data stored by VASCO-fulfilment because you placed an order with an affiliated online store? If so, you can submit these requests to the online store in question, which is responsible for processing your data.

Do you have a complaint about this privacy statement? If so, please feel free to contact us first. We promise to take your complaint seriously.

Do you feel that we are not adequately addressing your complaint? If so, you always have the right to file a complaint with the Dutch Data Protection Authority.
