Organic Fulfilment

Organic fulfillment - for certified organic products.

If you sell certified organic products, you must comply with specific guidelines to maintain your certification. Every stage of your supply chain must meet these standards, which are verified by certification bodies. VASCO is SKAL-certified, which means we meet the requirements for storing and distributing organic products. Our storage facilities are dust-free, and we follow the First In, First Out (FIFO) method to ensure that products with the earliest best-by date are processed first. We record —if desired— all batch numbers for optimal traceability. All of this ensures that, in the event of a recall, products can be correctly traced and retrieved.

Goods Receipt - Inbound.

The fulfillment process begins with the receipt of products from your manufacturer, suppliers, or perhaps from your own warehouse. Based on an initial visual inspection and a standard checklist, our Inbound staff determine whether the incoming goods can be processed or must be set aside for further inspection.

This decision is guided by the guidelines and conditions we apply to incoming goods. Depending on the findings of the Inbound employee, the shipments are placed in one or more of the following pre-sort zones (pre-sorting to final storage location) or in quarantine (rejected shipments). We distinguish between the following storage locations: floor locations, pallet locations, and shelf locations.

Quality and Quantity Control.

The condition of the products is checked when the boxes are unpacked, and if they show any discrepancies or damage, they are rejected. The quantities are checked and, where necessary, updated in the Purchase Order (PO) that you placed in our system.

All individual items and/or outer cartons are scanned. As a result, every single item and/or outer carton undergoes an incoming scan (accurate inventory management). In addition, we also handle items that do not have a barcode or are not recognized in our system. For pallet deliveries where the contents must also be assigned to pallet locations, the quantities to be recorded are processed according to the communicated pallet stacking schedules, provided they are single-SKU pallets. For mixed-SKU pallets, the pallets are “unpacked,” stored, the quantities counted, and the inventory recorded.

Storage & Inventory Management.

Incoming shipments are moved in batches to their final storage location using an internal transport vehicle. If, after a certain number of scans in the activity, a batch can be moved, the inventory of the relevant products is updated immediately. During this process, all your products are already available for sale, because we have already linked the inventory to the internal transport vehicle as a virtual storage location.

Your products are stored in the fixed stock locations and are ready for sale. In the portal, you have real-time insight into stock levels and receive notifications as soon as your products reach the minimum stock level, allowing you to adjust your purchasing accordingly.

Order picking.

We use various order-picking strategies to efficiently process orders of different sizes and across multiple sales channels (B2C/B2B).

Container batch picking is one such method, in which orders from different customers containing multiple order lines are picked at specific intervals and sorted into containers (bins) by our outbound staff.

The advantage of this method is that, while completing a single route, multiple orders are picked simultaneously, and each order is sorted into its own bin. This is just one example of the many methods we use for order picking.

Order packing.

To continue with the aforementioned order-picking method: our packing staff scan the bins, and the contents (each item) are scanned out. This is a two-step verification process designed to prevent picking errors.

Orders are packed and sealed without plastic and with minimal air, after which the shipment is pre-registered with the appropriate carrier. At that point, the order is complete and the inventory is deducted from the system.

Ship products.

The orders are ready to leave our fulfillment center and will enter the carrier’s sorting and delivery process. We offer multi-carrier shipping options. This means we work with a select number of delivery partners who handle various types of shipments within the EU and the Rest of the World (ROW):

  • Letter mail, small packages;– international priority (tracked and untracked);
  • Packages of various sizes that are processed through the “regular” sorting and delivery network (both B2C and B2B);
  • Fragile and bulky shipments handled by our dedicated delivery partners;
  • Multicollo B2B shipments;
  • LTL and FTL pallet shipments (with time slots if desired): less-than-truckload and full-truckload shipments (pallets);
  • Export shipments and pickup shipments

Reasons for return.

Orders may be returned for various reasons, such as:

  • The delivery person made several delivery attempts, and the package was not picked up at a Parcel Pick-up Point, so it will be returned to the sender;
  • The order arrived damaged;
  • The order didn't meet expectations, and your customer would like to exchange the item for another one or receive a gift card to purchase a different item.

And there are plenty of other examples like this. It would certainly be helpful if all those returns were subject to a consistent review and critically evaluated.

Return processing.

Regardless of whether we follow any additional instructions, every return undergoes the following inspection:

  • The product packaging is evaluated for marketability;
  • The product packaging is evaluated for marketability;
  • Every return undergoes an odor check;
  • Every return is inspected for signs of use;
  • Every return is checked for completeness (are any parts missing?)

If a return meets one or more of these criteria, it will be rejected. These rejected products are stored in a separate area of our fulfillment center, after which we will coordinate an appropriate follow-up action in consultation with you. If a return does not meet one or more of these criteria, it will be approved. The product will be added to inventory, and the inventory level will be updated.
